Ans: Project management must be effective to ensure that project is on track and time, meets user expectations, and delivered within the specified budget.

What are the skills project manager should have?

Ans: Project manager must have managerial, communication, interpersonal skills. Project managers much know how to manage people, make good relationship with customers and employees, address conflicts that may arise between different people inside and outside of the organization, solve technical, non-technical problems.

What is a deliverable?

Ans: Deliverable is an output produce by completion of a task.

What is a project?

Ans: A project is a well-planned and organized series of tasks and activities to achieve some pre-specified goals and objectives.

Explain Feasibility study.

Ans: Feasibility study is the process of studying whether the project to be develop will be of value for the organization or not in terms of cost, and operation.

Why are system development projects are undertaken by organizations?

Ans: There are several reasons for organizations to undertake the system development project, the major three are:

  1. To get benefits of opportunities provided by the information technology
  2. To solve existing issues and problems within the organization
  3. To meet the directive imposed by some external organizations like government

Ans: The phases of project management are:

  1. Project Initiation
  2. Project Planning

Explain project Initiation phase of Project management.

Ans: In the project initiation phase several tasks are performed to know size, scope and complexity of the project and to establish procedures required to project support other phases and activities of the project. The major tasks performed during the project initiation are:

  1. Establishing the project initiation team: A team is formed to perform project initiation activities.
  2. Establishing relationship with customers
  3. Establishing the project initiation plan: A plan is defined for the team to perform activities required to understand scope, size and complexities of the project.
  4. Establishing management procedures: Procedures about how to communicate, produce report, pay bills are established.
  5. Establishing the project management environment and project workbook. Generally, project workbook consists of diagrams, charts, and system descriptions. Project workbook is a kind of repository for all users, it shows inputs, outputs, deliverables, procedures and standards established by the project team.
  6. Developing the project charter: Project charter is a high level document created for the customers which outlines the objectives of the projects, tasks and activities are to be performed during the project duration.

What are the contents of project charter?

Ans: A project charter consists of following elements:

  1. Project title and date of authorization
  2. Project manager name and contact information.
  3. Customer Name and contact information
  4. Project start and completion dates
  5. Key stakeholders, project risks and responsibilities, Project objectives and description
  6. key assumptions or approached considered
  7. Signature section for key stakeholders.

Explain project planning.

Ans: Project planning is the process of clearly stating all the activities and the work needed to be completed each activity within a project. Assumptions about the resource availability is also done during the project planning.

Activities performed during project planning are:

  1. Describing project scope, alternative solutions, and feasibility studies
  2. Dividing the project into manageable tasks
  3. Establishing resources and creating a resource plan
  4. Developing a preliminary schedule
  5. Developing a communication plan
  6. Determining project standards and procedures
  7. Identifying and assessing risk

  10. Setting a baseline project plan

What are the questions to be asked to define project scope?

Ans: Questions to be asked to define project scope are:

  1. What problem or opportunity does the project address?
  2. What are the quantifiable results to be achieved?
  3. What needs to be done?
  4. How will success be measured?
  5. How will we know when we have completed the project?

What are gantt chart and network diagram?

Ans: A Gantt Chart is a chart which shows the tasks with their start and end date to be performed during the project work in the horizontal bars. Gantt chart does not show interrelationships between the tasks. Network Diagram is a diagram which shows tasks in order to be performed during the project. It shows interdependences among the tasks with their predecessors and successors.
